Privacy policy

1. Data controller

CGGK, operating the ecofrost.eu website. For any request relating to the protection of your data: info@ecofrost.eu.

2. Data collected

When you fill in the quote form (or any other contact form), we collect the following information:

  • Identity: first name, last name, company name, SIRET, EU or UK VAT number
  • Contact details: email, phone, delivery town/city and postcode
  • Project: intended use, target volume, temperature range, timeframe, free-text notes
  • Consent: timestamp of your acceptance of the privacy policy

We do not collect any sensitive data within the meaning of Article 9 of the GDPR (origin, health, opinion, etc.).

3. Purpose and legal basis

Your data is processed for the following purposes:

  • Handling your quote request (legal basis: pre-contractual measures)
  • Commercial communication about your project (legal basis: legitimate interest)
  • Customer relationship management if an order is placed (legal basis: performance of a contract)
  • Legal obligations: invoicing, accounting, warranty (legal basis: legal obligation)

Your data is never sold or passed to third parties for commercial purposes.

4. Recipients

Your data is shared with the following entities, strictly as required to handle your request:

  • CGGK internal CRM (prospect and customer management system) — data stored in France
  • CGGK engineering desk (internal team handling your quote)
  • Partner refrigeration engineer (if relevant to your project) — at your explicit request
  • Host: Contabo GmbH (Germany) for the website; no prospect data is stored on these servers
  • Email service: the SMTP provider of our professional email service

5. Retention period

  • Prospect with no order: 3 years from the last contact
  • Customer with an order: duration of the contractual relationship + 10 years for accounting and warranty obligations
  • Analytics cookies: 13 months maximum (CNIL limit)

6. Your rights

In accordance with the GDPR, you have the following rights:

  • Access: obtain a copy of your data
  • Rectification: correct inaccurate data
  • Erasure: deletion of your data (except where there is a legal obligation to retain it)
  • Objection: object to processing based on legitimate interest
  • Restriction: temporarily restrict processing
  • Portability: retrieve your data in a structured format
  • Complaint: to the CNIL (www.cnil.fr) in the event of an unresolved dispute

7. Cookies

The ecofrost.eu website uses only cookies strictly necessary for its operation (language preferences, session state). No advertising or third-party tracking cookie is set without your explicit consent. If we activate an audience-measurement tool in future (Plausible, Matomo, GA4 in anonymous mode), a consent banner will be presented to you.

8. Security

Your data is protected by TLS encryption in transit (HTTPS) and stored on servers in Europe. Access is restricted to authorised CGGK personnel. Strong password policy, access logging, encrypted daily backups.

9. Transfers outside the EU

Your data is not transferred outside the European Union. Our hosting infrastructure and our SMTP services are based in France and Germany.
